MobileRent is an in-house application owned by General Lease and used exclusively by certain employees and independent contractors of General Lease in the performance of their duties.
These employees and independent contractors can only access the MobileRent app through their credentials for the employer’s/client (General Lease NV) general systems.
Only those employees or independent contractors who need the app in the performance of their duties can have access to the app. They will be issued with user rights set up by the employer/client (General Lease NV).
General Lease uses the data in the context of its activities as a short-term car rental company
to perform the following operations:
- Create and submit a vehicle check during delivery, transportation or recovery of the rental cars;
- Create and submit a damage report during delivery, transportation or recovery of a car;
- Create and submit the required documentation for the above mentioned operations;
- Create and submit a carpark check;
- Providing real time location of the employee-driver who is driving a car in order to effectively scheduling transports and deliveries and provide the customers of the estimated time of arrival of the cars;
By using this service, the user agrees to the collection and use of information in accordance with this policy.
Information collection and use
We collect several types of data and information exclusively in the context of the performance of our services concerning short term car rental.
Types of data collected
Personal data
While using the MobileRent app we collect personally identifiable data that can be used to identify the user, these data are limited to:
- Location data
- Camera-images taken by the users during the performance of vehicle
Use of data
The location data are used for the following purposes:
- To determine the car’s location by determining the location of the employee or independent contractor who is creating vehicle checks and/or damage reports for cars who will be transported by our services. These location data are processed to avoid discussions about the time and place the vehicle check and/or damage report is executed. The data will be stored in the General Lease Vehicle data base.
- To determine real time car location by determining the General Lease-driver’s (who can be an employee or an independent contractor) location while transporting cars. These location data are processed for a better functionality of our systems, effectively scheduling transports and deliveries and provide the customers with an estimated time of arrival of their cars. The data will also be used to evaluate performance level of the deliveries and keeping of history of the deliveries. The data will be stored in the General Lease data base for a period of maximum 60 days.
The camera-images are used for the following purposes:
- To store the pictures of the cars employees or independent contractors take while creating damage reports;
- To store the pictures of extra documents users of the cars need to submit employees and independent contractors take while performing their duties;
- To scan QR codes from document used by the employees or independent contractors;
No other data than the above mentioned will be processed through the MobileRent app, the data will only be processed for the above mentioned purposes.
Use of the MobileRentapp
- Use of the app by employees or independent contractors (non-drivers).
The app will process the location data of the user when he starts to submit a vehicle check or damage report.
The processed location will be compared with the expected location of the car in the General Lease database in order to avoid human error and have a correct picture of the whereabouts of the cars. This location data will also be used to determine the time and place where the vehicle check/damage report is executed.
Please grant “While using the app” location permission.
- Use of the app by General Lease-drivers.
The app will process the location data in real time from the moment the user start his shift in the time registration system and stops processing when the user suspend or stops his shift in this time registration system. So the app is only processing the location data when the shift of the user is active and not when the user takes his breaks or ends his shift.
The app is processing the location of the user in real-time through a background service, which means the data is also processed when the app is closed as long as the shift of the user is active.
Please grant “Allow all the time” location permission.
Transfer of data
The processed data, including location data, will be transferred to the General Lease databases on the General Lease servers.
There is no transfer of this data to any third parties.
General Lease does not share or sell the processed data with any third party, the processed data will not be used for advertising or analytics.
No advertising will be used in the MobileRent app.
MobileRent uses unique device identifiers to sent notifications to the driver-employees with their following tasks.
MobileRent uses Bluetooth to use the MobileRent app in connection with a Belgian e-Id reader so that the clients can sign the vehicle checks and damage reports when they have such an e-Id.
Disclosure of data
The processed data will only be disclosed by General Lease in good faith and belief that such action is necessary to:
- Comply with a legal obligation
- Protect and defend the rights or property of General Lease and its employees
- Protect the personal safety of the General Lease employees or the public
- Protect against legal liability
Security of data
The security of the users data is important to General Lease, but no method of transmission over the internet, of method of electronic storage is 100% secure.
General Lease takes all necessary technical and organizational measures in order to safeguard the processed data but can not guarantee its absolute security.
Service Providers
General Lease does not employ third parties to facilitate the services (Service Providers) or to provide the service on their behalf, to perform service related services or to assist her in analyzing how the service is used.
Children’s Privacy
The app is for exclusive use by the General Lease employees so it cannot be used by children.
Changes to this privacy policy
General Lease may update her privacy policy from time to time. They will notify the employees using the app of any change by posting the new privacy policy on this page.
General Lease informs the employees by email and/or a prominent notice on the service, prior to the change becoming effective and update the “effective date” at the top of this privacy policy.
Employees – users of the MobileRent app – are adviced to revieuw this privacy policy periodically for any changes. Changes to this privacy policy are effective the moment they are posted on this page.
